Privacy Policy

Effective Date: October 1, 2026
Last Updated: October 1, 2026

Logical Host, LLC ("Logical Host," "GovernHOA," "we," "us," or "our") operates GovernHOA and respects your privacy. This Privacy Policy explains how information is collected, used, disclosed, and protected when you use the GovernHOA website, application, communications services, and related services (collectively, the "Services").

GovernHOA provides software and communications services to homeowners associations, condominium associations, community associations, management companies, boards, owners, residents, vendors, and other authorized users.

1. Information We Collect

Account and Contact Information

We may collect names, email addresses, mailing or property addresses, telephone numbers, usernames, account identifiers, property/lot/unit information, ownership or residency information, user roles, and account permissions.

Association and Community Information

Information may be provided by an association, management company, board member, property owner, resident, or another authorized party. This may include property and ownership records, balances, payment records, violations, architectural requests, maintenance information, reservations, association correspondence, governance records, and documents maintained by the association.

Payment Information

When payment functionality is used, payment-related information may be transmitted to payment processors or financial institutions as necessary to process a transaction. GovernHOA may receive transaction identifiers, payment status, amounts, and related information required to maintain association account records.

Communications

We may collect information contained in communications sent through or relating to GovernHOA, including email, SMS, support requests, announcements, notices, and other communications.

Technical and Security Information

When you use the Services, we may collect IP addresses, browser and device information, operating system information, login/access times, pages or features accessed, security and authentication events, and application/system logs.

Public Website Forms

If you submit a contact or demo-request form, we collect the information you enter so we can respond to the request. The public website does not use advertising trackers, analytics services, or non-essential tracking cookies. Necessary session technology may be used to protect forms and maintain basic site security.

2. How We Use Information

We may use information to provide and operate GovernHOA, administer accounts, associate users with properties and communities, process association-related requests and transactions, facilitate payments, deliver announcements and requested communications, provide support, authenticate users, detect fraud or misuse, maintain audit and activity records, improve security and reliability, comply with applicable requirements, and enforce agreements or policies.

3. SMS and Mobile Messaging Privacy

GovernHOA may provide SMS messaging for authentication, association, community, account, transactional, and administrative purposes. SMS-based authentication is enabled separately from operational notification preferences. Users can control operational SMS categories in the authenticated portal.

All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

Mobile numbers, messaging information, and SMS consent may be provided to telecommunications providers, messaging providers, aggregators, wireless carriers, and other service providers only to the extent reasonably necessary to operate, deliver, secure, and support the messaging service.

SMS consent is specific to the sender, purpose, and category for which consent was obtained and is not treated as transferable consent for unrelated messaging. Marketing or promotional SMS is not part of the GovernHOA messaging program.

Message frequency varies based on authentication activity, account activity, association activity, and user-selected notification preferences. Message and data rates may apply. Users may reply STOP to withdraw consent from applicable recurring notification messages and may reply HELP for assistance.

See SMS Messaging & Consent for additional information.

4. How We Disclose Information

We do not sell personal information for monetary compensation. Information may be made available to the applicable association, management company, board, or authorized administrators responsible for the community with which an account or property is associated.

We may use service providers for hosting, infrastructure, payment processing, email or SMS delivery, security, monitoring, storage, backup, and technical support. Providers may receive information only as reasonably necessary to provide services on our behalf.

We may disclose information when reasonably necessary to comply with law, legal process, or governmental requests; to investigate fraud, abuse, security incidents, or violations; or to protect the rights, property, or safety of GovernHOA, Logical Host, customers, users, or others.

Information may be transferred in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to applicable law. Any such general business-transfer provision does not authorize the sale or transfer of SMS opt-in consent for another party's marketing or promotional messages.

5. Security

We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, alteration, disclosure, loss, or destruction. GovernHOA supports controls including encryption in transit and at rest, role-based access, MFA/2FA, audit logging, secure development practices, backups, and disaster-recovery practices.

No Internet-based service can be guaranteed to be completely secure. Users are responsible for protecting account credentials and should promptly report suspected compromise.

6. Data Retention

We retain information for as long as reasonably necessary to provide the Services, maintain association and account records, satisfy contractual obligations, resolve disputes, maintain security and audit records, and comply with legal requirements. Certain association records may be retained according to association instructions and applicable record-retention requirements.

Records documenting SMS consent and withdrawal of consent may be retained as necessary to demonstrate messaging compliance and user preference history.

7. Access and Correction

Users may be able to review or update account, contact, security, and notification information through GovernHOA. Some information is maintained on behalf of an association or management company; requests concerning those records may need to be directed to the applicable association or administrator.

8. Children's Privacy

GovernHOA is not designed or intended for use by children under 13, and we do not knowingly solicit personal information directly from children under 13. If we learn that information has been collected directly from a child under 13 in a manner inconsistent with applicable law, we will take reasonable steps to address it.

9. Third-Party Services

GovernHOA may integrate with or link to third-party services such as payment processors, accounting platforms, identity providers, telecommunications providers, and other technology services. This Privacy Policy does not govern the independent privacy practices of those third parties.

10. Changes to This Policy

We may update this Privacy Policy to reflect changes to the Services, business practices, technology, or legal requirements. The Last Updated date will be revised when the policy changes.
